Most scheduling tools have an "open shift" board. In practice, that means the open shift sits on a board waiting for a caregiver to log in and grab it — which they don't, because they're not sitting at a screen.

A real fix has to push the open shift to caregivers where they actually are (text, voice), target only the qualified ones, and confirm in real time. Until your software does that, your open-shift board is just a graveyard.

A real evaluation framework — not the 200-feature checklists vendors hand out:

  1. Time to fill an open shift. Should be under 10 minutes, ideally under 5. Measure the median, not the average.
  2. % of call-outs the software handles end-to-end. Coordinator time per call-out should be under 5 minutes.
  3. Fill rate on weekends and holidays. This is where legacy stacks fall apart.
  4. Coordinator hours per 100 shifts. Total cost of running the schedule, not feature count.

  6. Caregiver retention proxy. Are caregivers getting consistent shifts with consistent clients? Software should help, not hurt.

If your current scheduling software can't tell you these numbers, you're flying blind.

What home care agencies should ask vendors

When you're evaluating home care scheduling software in 2026, ask:

  • Show me a live call-out filled end-to-end by the system. No "imagine if" demos.
  • Walk me through your AI architecture — are these agents, or features?
  • What's the median time-to-fill for your existing customers?

  • What does the caregiver experience look like — do they have to log into a portal, or do they get a text?
  • What's your pricing model? Is it per seat, per shift, per outcome?

FAQ

Isn't all home care scheduling software basically the same? No. Storage-only systems (most legacy tools) look similar on paper but leave coordinators doing all the workflow by hand.
